We’re looking for compassionate, enthusiastic people to join the HMS PTSA board and its committees. There are open roles for every interest and level of availability (in–person, virtual or both). We’re a team of busy guardians, who understand the juggle and struggle, but we show up because we care. We laugh, we brainstorm, support each other and we celebrate the wins—big and small. Being part of this group means being part of something that truly matters. It’s also one of the best ways to stay informed and connected to what’s really happening in our school.

CO- PRESIDENT - Role: Oversees all of the actions of the PTSA with Co-President. The Presidents try to be very present at the school so that teachers and staff and admin know their faces and feel comfortable reaching out for help. They watch the calendar and make sure that each event has the proper planning and execution. They monitor the email inbox to accept requests and information from the school and the community. The presidents are very proactive in posting on social media platforms. Co- President also monitors the Spanish speaking community chat on WhatsApp. So that we stay open and welcoming to all families, the Co-President (with the help of Google Translate or ChatGPT) translates materials if we do not have a Community Engagement Chair role filled. The Co-President hosts PTSA meetings (once a month, virtually) and once-a-semester full-membership general meeting (in-person at HMS). This role should be about overseeing and delegating, not making decisions and assigning tasks. When you oversee and give people agency, then there is less work to be done and it's a much easier volunteer position.

Recommended Skills and Interests: Creating and maintaining a warm, open and supportive relationship with faculty and admin at the school so that communication and help can flow.

Commitment: (50/50 in-school and some virtually) 3-5 hrs / week

TREASURER - The Treasurer is responsible for managing the finances of the HMS PTSA. This includes preparing a yearly budget with input from various committee chairs. The budget is generally prepared in July and presented and voted on at the first in-person general meeting in August. Each month the Treasurer will record actual expenses incurred against the budget and present the budget vs. actual spreadsheet at the monthly board meeting. The GA PTSA provides a Treasurer checklist that details the various responsibilities of the Treasurer on a monthly basis. All check requests are sent to the President and Treasurer for reimbursement. Each month the Treasurer reconciles the bank statement to the activity recorded in Quickbooks. The Treasurer is also responsible for preparing all financial documents, (check requests, funds verification forms, reconciled bank statements, minutes of each board meeting) and other related documents for an annual audit and preparation of the annual 990 tax return for non-profits. There are other ancillary duties that arise from time to time depending on the needs of the school and PTSA board. Attend PTSA Board meetings and school-wide meetings, as you are able (or provide updates via email to the PTSA Board on budget if unable to attend).

Skills: General understanding of budgeting, accounting and familiarity with Quickbooks Online.

Commitment: (80% virtual) 5-6 hours / week depending on the number of transactions 

Busy Time: Beginning of school year (Open House, Be A Hero funding drive), holiday season (Holiday fundraising drive), end of year (end of school fundraising drive, Cougar Carnival, end of year reimbursements), summer (audit preparation).

TREASURER ASSISTANT - Supports the Treasurer where needed and helps with responsibilities within Quickbooks. Acts as a back-up for the Treasurer if they are unavailable. There are other ancillary duties that arise from time to time depending on the needs of the school and PTSA board. Attend PTSA Board meetings and school-wide meetings, as you are able. This role is perfect for someone who wants to help lend a hand and knows bookkeeping and accounting but cannot commit to being the lead. 

Skills: General understanding of budgeting, accounting and familiarity with Quickbooks is a plus but not needed

Commitment: (100% virtual) as needed for back-up

MEMBERSHIP AND WEBSITE CHAIR - This role is the HMS PTSA webmaster (making minor changes, updating calendar) and membership chair managing Totem (the existing and easy-to-use PTSA platform) memberships and updating the site for new members. This role also creates links for 8th grade yard signs, teacher fundraisers, and carnival wristbands through Membership Toolkit, setting up the donation options in Totem each year. This role is entering new PTSA members into Membership Toolkit so that they will receive the newsletter. 

General edits to the website are needed when a PTSA chair has a need. This role is perfect for a tech-savvy person who wants to volunteer from home. Attend PTSA Board meetings and school-wide meetings, as you are able.

Skills: Tech savvy, project management, comfortable learning a new platforms like Totem and Membership Toolkit

Commitment: (100% virtual), a few hours a month

Busy Times: Leading up to Open House and the first month of school.

NEWSLETTER COMMITTEE (3 volunteers needed)  - The Newsletter Committee members share writing and editing the newsletters that go out to HMS PTSA members. The committee will work out a schedule of which committee member is writing for each week of the month. The committee members take turns acting as editors for the committee member writing the newsletter so they are not working completely alone and to catch mistakes or typos.  Each committee member will have access to the Comms email address to pull out news requests to include info in the newsletter. Typically this work is done over the course of the weekend with newsletters going out on Sunday nights. 

Skills: Writing engaging copy, project management, comfortable learning Membership Toolkit, ability to use Canva or some bit of design is a huge plus

Commitment:  (100% virtual) The newsletter takes about 3 hours/week depending on the amount of content or number of committee members sharing the load. Ideally there will be 3 committee members splitting up the weeks of the month with the VP of Communications.

COMMUNITY ENGAGEMENT COORDINATOR (SPANISH SPEAKER) - This role supports the VP of Communications to make sure that all information is being sent out on the Spanish Speaking Whatsapp Group and parents are informed and involved in the success of the PTSA. This chair will be responsible for attending all general membership meetings and includes interfacing with HMS supplied interpreters, liaisons and sometimes coordinating interpreters. Engages the Spanish-speaking community to recruit help/volunteers for initiatives and events throughout the year (volunteer for book fair, school store, buildings and grounds, dances etc). This role is passionate about making sure families are not left out of communication and important updates. 

Skills: Tech savvy, project management, comfortable being the go-to for parents that have questions

Commitment: (80% virtual), a few hours a month

Busy Times: Off and on throughout the school year

LEAD TEAM PARENT COORDINATOR (need 2) - This role helps recruit parents to be the lead parent for their teams. There are 14 parents to recruit and stay in touch with throughout the year to forward them information to send out to their teams for the PTSA and Foundation (during March Madness). You will help during Open House to get families to fill out the contact forms so you can find a Team Parent to match up with the Lead Teacher for the Team. After a team parent is identified for the year, this person holds a zoom to go over the role of the team parent and help them set up a Facebook page for their team. Most of your work is frontloaded at the beginning of the year. This role typically helps the Communications Team with getting the word out about events that the PTSA is overseeing and sometimes assists with sending out newsletters if the VP of Communications needs help. This role is perfect for someone who is good at disseminating information virtually and likes to stay informed about what is happening at the school.  Attend PTSA Board meetings and school-wide meetings, as you are able.

Skills: Emailing, managing Google Spreadsheets with contact info. Good at sending emails that are very clear and provide context.

Commitment: (100% Virtual) Beginning of the year, 2 hours/week. Throughout the year, maybe 2 hours a month.

Busy Time: Prep for Open House, Open House and then about the first month of school is the busiest.

EXTRACURRICULAR SUPPORT COORDINATOR - Our extracurricular sports and clubs make Henderson special. This role helps teachers and coaches get information sent out to guardians for recruiting and being prepared for upcoming events and games. This coordinator gets a list from Ms Patillo with all of the sponsors / coaches and begins outreach to those faculty and staff to help make fliers, send info to parents via Team Lead Parents, HMS Whatsapp and the newsletter and oversees that sign-up geniuses are made if needed. Some of our clubs and sports include ultimate frisbee, volleyball, basketball, football, soccer, track, cheer, pep band, eco-avengers, science olympiad, geography club, reading bowl etc. This role helps at Open House to coordinate clubs / sports presence to make sure they are represented. And this person makes sure that the yearbook staff has pictures of events and games. This role will facilitate and streamline the process for Henderson sports and extracurricular activities to be communicated to those participating and will offer support to the teachers and coaches that organize these activities. There is a need for streamlining a standard process that can then be dispersed to each individual sport liaison to coordinate the specifics with coaches and parents/guardians of that particular activity. It is the  perfect role for a volunteer that wants to be involved with making sure that all guardians are getting information they need in a timely manner. 

Skills: Emailing, maintaining schedules, calendars and managing contact info, being able to make fliers is a plus

Commitment: (100% Virtual) Beginning of the year to ramp up efforts, then maybe 1-2 hours/week throughout the year

Busy Time: Prep for Open House, Open House and then about the first month of school is the busiest.

8th GRADE COMMITTEE CO-CHAIR (need 2) - This role does fundraising for all things 8th grade. This role handles the yard signs, the class gift, help with end of year dance, help with 8th grade week - anything to make it special for our 8th graders. This committee uses PTSA primarily to handle the money, use social media platforms, community outreach, etc. This person stays in contact with the Vice Principal of 8th grade and other admin to plan events. This role is in-person at fundraising events or finds volunteers to staff. You will be responsible for recruiting committee members from 8th grade parents. Attend PTSA Board meetings and school-wide meetings, as you are able.

Skills: Social media savvy, project management, organized, communication skills

Commitment: (50/50 virtual and in-person) light in 1st semester and more in the second semester as end-of-school year events approach

Busy Time: 2nd semester is much more active

SCHOOL STORE CO-CHAIR - This role is very important to the PTSA as a large portion of our fundraising is made at the store. This role is active in the school when the store is open and has a lot of interaction with students. Volunteer for school store on Mondays and/or Thursdays from 8:00 am - 2:00 pm. Order products from our supplier. Manage inventory. Restock shelves. Manage stock so that inventory does not expire. Work well with multiple volunteers. Manage sign up genius account. Keep track of spending. Organize receipts and submit for reimbursement. Count money. Make deposits into PTSA bank account. Attend PTSA Board meetings and school-wide meetings, as you are able. This role is perfect for a parent that is stay-at-home or work-from-home or makes their own schedule and wants to make a huge impact for the school. 

Skills: Outgoing and organized, good with managing money and inventory, some physical labor

Commitment: (80% in-person) 6-15 hours per week depending on whether volunteering 1 or 2 days per week. .

Busy Time: School store co chair is a consistent amount of hours every week that school is open with a couple hours spent placing orders and picking up products over the weekend and breaks in preparation of being back at school.

BOOK FAIR CO-CHAIR - The PTSA Book Fair Chair is responsible for planning, organizing, and overseeing all aspects of the school’s book fair. This role involves coordinating with school staff, volunteers, and book fair vendors to create a successful and engaging event that promotes literacy and benefits the school community.

This role schedules the Fall and Spring book fairs with the help of the co-chair; promotes in newsletter and on social media; does setup and take down of fair; organizes volunteers to work the fair; works the fair to help students, trains volunteers and manages money - daily or split up with co-chair; closes the fair and chooses rewards. Attend PTSA Board meetings and school-wide meetings, as you are able. The PTSA Book Fair Chair plays a vital role in fostering a love of reading and supporting school fundraising efforts. 

Skills: strong organizational skills, communication abilities, and a passion for literacy and community involvement, some physical labor

Commitment: (80% in-person) Leading up to the fair: possible 1 hour per week for 3-4 weeks; during fair: 30-40 hours for the week if not split with co-chair

Busy Time: Late Nov - early Dec, Late April- early May

Co-VP of PROGRAMS (need 2) - The VP of Programs is responsible for planning enrichment programs for students, staff and parents of HMS. Goal for this role is at least one/quarter. Assistance with Cougar Carnival and other programs is also part of the job. Attend PTSA Board meetings and school-wide meetings, as you are able. This role is perfect for a person that is passionate about mental health and the wellbeing of our students and parents. They would develop Parent Programs at General Membership Meetings and Student Programs / Cultural Affairs initiatives. 

Skills: Ability to organize programs for students and parents, communicating and securing dates with administration and other personnel, finding speakers/presenters, identifying program topics. Attend PTSA Board meetings and school-wide meetings, as you are able.

Commitment: (80% virtual) Depending on what upcoming programs there are and who is providing. Can be 0-10 hours/week

Busy Time: I find it best to spread out the programs offered. Starts in fall and ends in early spring. Must take testing considerations and school events into consideration when planning.

Co-VP of FUNDRAISING - The job of this role is to raise funds to support school programs, events, and initiatives. This person, in conjunction with their co-chair, coordinates fundraising activities such as spirit nights and oversees the PTSA’s big fundraising effort, HundredX. This effort requires in-person marketing and social media presence. This role makes sure fundraising is advertised within the school through the daily announcements to foster competition between the school teams. Facilitating communication and engagement are the most time-intensive demands of the job. This role also solicits local businesses for sponsorships for Cougar Carnival. Attend PTSA Board meetings and school-wide meetings, as you are able. This role is perfect for a parent that can do this kind of work on their own schedule and sets goals. 

Skills: Communicating effectively, outgoing, enjoys fundraising, ability to create fliers / advertisements is a plus 

Commitment: (80% virtual) Heavier hours during HundredX. Otherwise approx 4 hours monthly coordinating and attending spirit nights

HOSPITALITY CO-CHAIR (Need 2)  - In charge of planning, leading and coordinating all staff appreciation events, as well as miscellaneous staff events. Hospitality provides food and drink for key events throughout the school year, as well as recognition of staff members and departments. These co-chairs oversee teacher appreciation week, security resource officers, janitors, paras, admin support staff, counselors, cafeteria workers, crossing guard, etc. There are 12-15 events in the year. The big ones are November for Soup day, December for Cookie Swap, and May for Teacher Appreciation week. The hospitality chairs manage a budget for the year and delegate to the committee members. This role is perfect for a parent that wants to make a huge difference and boost morale among our hard working staff. Attend PTSA Board meetings and school-wide meetings, as you are able.

Skills: Project management to keep track of upcoming events and staff recognition, budget management, event planning and coordination, volunteer management, hands on/day of assurance and coordination. Signups for people to help especially for the Soup Day, Cookie Swap and Teacher gifts. Organizing orders and delivery for food items, negotiating deals with vendors that provide food. Most importantly having time to be at the school and available to set up, serve and tear down.

Committee Members Ideal: 3 so that the events could be split up among the members.

Commitment: (50/50 in-person and virtual) about 4/week during event weeks

Busy Time: Yes, Oct-Dec and March-May

HOSPITALITY COMMITTEE (3 volunteers needed) - The committee members roll up to the Hospitality Chairs to assist as needed in picking up food / beverages, delivery of items. Hospitality provides food and drink for key events throughout the school year, as well as recognition of staff members and departments. These committee members help with 12-15 events in the year. The big ones are November for Soup day, December for Cookie Swap, and May for Teacher Appreciation week. These committee members work together to make sure that all events and activities are staffed by the committee and help recruit volunteers. This committee is perfect for parents that like to have opportunities to help out at the school from time-to-time and really make a difference for our hard-working staff. 

Skills: outgoing, love interacting with admin and staff, some physical labor

Commitment:  (100% in-person) available to help during school hours a few times a month

Busy Times: sporadic over the course of the school year

BUILDINGS & GROUNDS CO-CHAIR - Identify opportunities and requests to beautify and improve the HMS building and grounds. In general, this encompasses the campus grounds, building exterior and walkways, interior courtyards, gardens, sign systems, art and murals.Manage budget for ongoing and upcoming projects. Gain budget approval from the PTSA team and Ms. Patillo. Recruit volunteers and oversee efforts for campus beautification and improvement projects. Host periodic volunteer workdays to complete projects. The only predetermined workday is scheduled before the Back-to-School Open House, in preparation for the new school year.

Identify outside vendors and coordinate with them to complete scheduled work. Attend PTSA Board meetings and school-wide meetings, as you are able.

Skills: Have a determined and optimistic attitude, not required but useful skills include project management and knowledge of landscaping, gardening, home repair, construction, or design (graphic, interior, landscape, signage, etc).

Commitment: (50/50 virtual and in-person) 0-15 hrs / week

Busy Time: Before start of school, fall, spring

VOLUNTEER COORDINATOR CO-CHAIRS (need 2) - The main function of this role is to find and recruit volunteers from the board and the membership to make sure that events and initiatives are fully staffed (hospitality, book fair, attendance office, school store etc). These Co-Chairs will set up Sign Up Geniuses and assist chairs to make sure they have no shortage of help. This role will work closely with the School Events Chairs to make sure they have the help they need to easily execute their events and initiatives. This role makes sure the Attendance Office has volunteer staffing. The Volunteer Coordinators also pitch in to staff events. This role is perfect for the parent that wants to help virtually during the week and has some availability to pitch in here and there during events that are not fully staffed. Attend PTSA Board meetings and school-wide meetings, as you are able.

SCHOOL EVENTS COORDINATOR CO-CHAIRS (need 2)  - This role is needed to help organize all events that touch the student population throughout the year with a focus on three major events that the PTSA oversees: Open House in August, Rising 6th Grader Parent Tours in Feb/March and the Cougar Carnival in May. These chairs lean on the Volunteer Coordinator Co-Chairs to help find volunteer parent staffing and chaperones. The PTSA Co-Presidents will help kick off each of these events to help secure vendors and the School Events Coordinators oversee execution of the events. Works with Ms Brooks and the administration to make sure they have all the resources, decor and help needed for school dances and student events. Coordinates with Co-Presidents on school tour events. Attend PTSA Board meetings and school-wide meetings, as you are able. This role is perfect for people who like to throw parties and organize events and see our students having fun!

VOLUNTEER COMMITTEE (need 3) - Assists the Volunteer Chairs and School Event Chairs with Open House in August and the Cougar Carnival in the spring. This committee supports the Volunteer Chairs staffing hospitality events, book fair, school store etc. They help find volunteers to fill up Sign Up Geniuses and pitch in where needed. Helps staff dances, chaperones or finds volunteers to help staff. This committee is perfect for parents that want to be able to help some at the school but cannot commit to being a chairperson on the board. This committee person is good with communicating out to other parents they know to recruit them to help where needed.

Commitment: (100% in-person) depending on the events that need support, sporadic over the year but willing to help out at events
